In order to create and sell gift cards or packages, you need to use templates. A template determines all important characteristics of a gift card or package, such as what it can be redeemed for (products, services), its value or expiry date.
After you enable the Gift Cards and Packages add-on, there are three default templates in the system: Generic amount gift card (allows you to specify the value of the gift card during each sale), Generic service gift card and Generic service package (both allow you to specify what services the voucher can be redeemed for).
Apart from that, you can create your own templates to pre-define the value, services and other characteristics of the gift card or package. When creating an amount gift card template, you need to choose whether it will be single-purpose (SPV) or multi-purpose (MPV) > Read more about single-purpose and multi-purpose vouchers.
In order to create an amount gift card template:
- Sign in as an administrator or a receptionist
- Click settings in the left sidebar
- In the add-on settings section, click gift cards and packages:
- Click new template in the right upper corner:
- Enter the name of the template
- Select the default type of the template - SPV or MPV
- If you select the SPV type, an additional drop-down menu will appear where you will be able to select the default VAT rate for this template. The drop-down menu will not appear if you select the MPV type
- Click the services drop-down menu and decide whether gift cards created with the template will be redeemable for all services, selected services or no services.
Tip: Selecting services in the case of an amount gift card template may seem counter-intuitive, but it will allow you to promote specific services - for example, you will be able to sell gift cards for a given service or services
Click the products drop-down menu and select an analogous option for products
Specify the value of the gift card. By default, it will also be the price of vouchers created with the template. If the price is to be different than the value, click edit purchase price and specify the amount (note: before you do so, make sure it's legal in your country or state)
Specify the expiry date. It will determine the expiration of both gift cards created with the template and the template itself
Click create.
In order to create a service gift card template:
- Sign in as an administrator or a receptionist
- Click settings in the left sidebar
- In the add-on settings section, click gift cards and packages:
Go to the service gift cards tab:
Click new template on the right:
Enter the name of the template
Click the drop-down menu and select if related services are fixed or selected at the time of sale. With fixed services select them from the list and set their price within a gift card
Click the drop-down menu and select a service or services that customers will be able to pay with the vouchers for:
If you'd like to create multi-session vouchers, enter the number of sessions:
To add more services, click the add another service button
The purchase price will be automatically calculated based on the sum of constituent services. You can also enter your own purchase price in the purchase price field
In the valid until field, click the drop-down menu and decide how long the vouchers will be valid for. You can select a duration or enter a specific date:
• 5, 2, 1 year, 6, 3 months - default periods
• selected date - choose a specific date
• no restrictions - created vouchers will be valid for an indefinite period of time (no expiry date)
• other - enter your own period (number of months)Once you've entered all required information, click Add.
In order to create a package template:
- Sign in as an administrator or a receptionist
- Click settings in the left sidebar
In the add-on settings section, click gift cards and packages:
Go to the packages tab:
Click new template on the right:
- Enter the name of the template
